FileTrac is built on one codebase for four kinds of organization — independent adjusting firms, carriers and program managers, third-party administrators, and individual adjusters. The platform is the same; the configuration adapts.
The short version
FileTrac runs the work of:
Independent adjusting firms — from a one-adjuster operation to a 500-adjuster CAT firm.
Carriers and program managers — managing networks of IA firms with the CrossTrac bridge.
Third-party administrators — running both the administrative back-office and field operations, with the TPA Module's six financial controls and Lloyd's bordereaux reporting.
Individual adjusters — desk, field, and CAT — with mobile access today and a dedicated AdjusterIQ workspace in active development.
The platform is one codebase. Pricing has eight published tiers from Grow ($250/month) to Enterprise Plus ($10,000/month) and adjusts as your operation does. There is no enterprise paywall on core features — every module ships at every tier.
IA firms — startup to enterprise
This is the bread-and-butter customer for FileTrac and has been since 2005. The system handles the workflows IA firms actually run:
Multi-branch operations — 60-plus branches manageable from one screen with centralized reporting.
Customer portal — your carrier and program-manager clients log in, see live status, load new claims, upload documents. No phone calls.
Adjuster assignment — by ZIP, by map, by license, by workload. CAT-event bulk assignment supported.
Fee schedules — per client, with adjuster payouts flowing automatically into invoicing and AR aging.
Personnel Manager — certifications, license tracking, skills, geographic assignment, workload balance across the roster.
Storm and CAT management — onboard catastrophe adjusters quickly, ramp down when the season is over.
Mobile access — full claim access, photo upload, time entry, from any device.
ELIAS AI in the dashboard — your in-system knowledge guide, answering questions and explaining workflows. Action-taking ELIAS AI capabilities ship weekly as part of an active development roadmap.
Available integration add-ons — HOVER, XactAnalysis, Symbility, TORRENT/NFIP, QuickBooks, NetSuite, and others, each priced per integration with published setup and per-claim fees. The 22-method SOAP API is included for custom work.
The smallest IA firm running FileTrac is a kitchen-table operation. The largest is a national CAT firm with hundreds of adjusters and dozens of carrier contracts. The platform is the same.
Carriers and program managers — one view across an IA network
Carriers do not need to force their IA firms onto the carrier's claims system. The CrossTrac bridge — the only inter-organization claim bridge in the industry — assigns a claim out to the IA firm, the firm works it in their own FileTrac instance, and results sync back automatically. No emails. No re-keying. No manual status updates.
Carriers run the Carrier Portal for visibility across every claim across every firm. They pull loss runs, reserve registers, and client summaries on demand. They configure the Claim Service API into their existing infrastructure. The whole setup works whether a carrier has two IA firms or twenty.
Carrier Claim Service per claim — the workspace pricing — runs $25–$50 depending on volume and integration scope. That is for the certified, transparent, fully audited claim file delivered through the platform. Pricing details are published on the FileTrac Pricing page.
Third-party administrators — both sides of the operation, one ecosystem
A TPA runs two parallel operations: administrative back-office and field. Most platforms force a choice between them. FileTrac runs both from a single ecosystem connected in real time through CrossTrac.
The TPA Module is an optional add-on available at any billing tier. It adds six interlocking financial controls:
Contracts and treaties with effective and expiration dates, automatic branch assignment, and out-of-contract alerts.
Reserve management by type (expense versus indemnity), with payment cap enforcement and recovery tracking.
Claim shares with automatic 100% percentage validation across syndicates and coverholders.
Authority levels — per-user spending limits with approval routing and override audit trails.
Checkbook management — full check register inside the claim, void/reissue with linked-record audit.
Reporting and access control — role-based scoping by syndicate, coverholder, and client company.
Lloyd's bordereaux are built around CRS v5.2 — UMR, Year of Account, UCR, claim status, reserves, payments, syndicate share — with saved per-syndicate templates and a contract / treaty exception report that catches misaligned shares before submission. Every payment carries a tamper-evident audit trail.
Individual adjusters — desk, field, and CAT
Mobile access is built into FileTrac today. An adjuster works claims from a phone or in the truck — full file access, photo capture, time entry, document upload. The iPhone app is live; an updated AdjusterIQ iOS app is on the way. Personnel Manager already tracks licenses, certifications, and continuing education across all states an adjuster operates in.
AdjusterIQ — the dedicated adjuster workspace — is in active development on top of the existing Personnel Manager foundation. It is the home for an adjuster's identity, verified licensing, work history, peer endorsements, and the Sovereign Adjuster credential earned through CIS-validated work. The Sovereign Adjuster program is in beta. Early access is open.
How to know which configuration fits you
The honest answer is: you don't have to choose up front. The platform is one product. A new customer is onboarded into the modern FileTrac Evolve interface with the modules that match their operation activated. As volume changes, you change tiers. As the operation evolves — adding a TPA contract, picking up a new carrier, ramping for storm season — the system flexes without a re-implementation.
If you are evaluating, the right next step is a demo where someone shows you the configuration that fits your operation. The pricing is published, so the conversation is about workflow, not negotiation.
