What FileTrac actually is

FileTrac is the system of record for a property and casualty claim. When an adjuster gets assigned, when an inspection happens, when a photo gets uploaded, when a reserve is set, when an invoice is generated — that all lives in FileTrac. It is the file the adjuster works from, the dashboard the firm runs on, and the source of truth the carrier audits against.

It has been live since 2005. Over 25 million claims have been processed through it. As of today, more than 180,000 users are registered in the system. Customer retention has held above 95% for more than a decade. Those numbers are why FileTrac is the foundation under everything Evolution Global builds — it is not a project, it is the platform.

What it actually does, day to day

FileTrac runs the full lifecycle of a claim:

  • Intake. New claim gets created — by API, by carrier feed, by portal upload, or manually. Required fields are validated against the client's contract. Acknowledgment letter and loss notice generate automatically.

  • Assignment. The adjuster is matched by ZIP, by territory, by license, by workload. SMS or email goes out. Authority levels and supervisor approvals are enforced from the first step.

  • Field work. The adjuster opens the file on a phone or in the truck, captures photos, records time, uploads documents. Mobile access is built in.

  • Documentation. Photos, reports, estimates, voice notes — bundled, tagged, virus-scanned, version-controlled, attached to the claim record.

  • Billing. Invoices generate against the client's fee schedule. Adjuster payouts calculate from time and expense entries. Accounts receivable ages on its own.

  • Reporting. A hundred-plus built-in reports across seven categories — management, accounting, adjuster, claims, custom-built, financial / TPA, and other — with a custom report builder for everything not in the catalog.

  • Close. The file gets reviewed, approved, and closed. The audit trail is preserved.

Every step is logged. Every document carries metadata. Every dollar is tracked back to the claim, the user, and the timestamp.

What makes it different from "just claims software"

Three things, specifically.

It is built for the way claims actually move. FileTrac was designed from the inside by a team that came out of independent adjusting. Branches and file numbers, fee schedules and adjuster payouts, storm and CAT management, multi-insurer claim sharing — those are first-class concepts in the system, not afterthoughts. That is why a firm running 60+ branches can run them all from one screen with centralized reporting.

It is connected. FileTrac supports thirteen available integrations — HOVER for aerial property capture, XactAnalysis and Symbility for estimating, TORRENT for NFIP flood claims, Xactimate, Verisk, Simsol, QuickBooks, NetSuite, the iPhone app, and the inter-organization CrossTrac bridge included as part of every tier. The integration bridges are paid add-ons activated per integration; setup and per-claim fees are published. A 22-method SOAP API is included with every tier as the path to building custom integrations against your existing systems.

It is governed. ELIAS AI runs inside FileTrac Evolve as your in-system knowledge guide today — answering questions, explaining workflows, and pointing you to the right module or setting. Action-taking ELIAS capabilities are in active development and ship weekly. Everything ELIAS AI touches is built to the Certified Integrity Standard published by the Ark Alliance Foundation — an independent 501(c)(3) standards body that Evolution Global founded and then structurally locked itself out of. Audit logs are tamper-evident. AI outputs are attributed three ways (Origin, Executor, Authority). Customer data is never used to train models — that is contractual, not a setting. For carriers and TPAs whose regulators ask hard questions, this matters.

FileTrac is a SaaS subscription. You sign up for one of eight published price tiers — Grow at $250/month through Enterprise Plus at $10,000/month — and each tier includes a monthly allowance of claims and appraisals at a per-unit rate that decreases as you move up. Tier changes can be made every month, in either direction. Mid-month change requests take effect on the first of the following month. Subscriptions auto-renew annually with a 90-day cancellation notice. The pricing schedule, the contract terms, and the trust posture are published on the website — everything you need to make an informed decision is in front of you before you ever talk to sales.
