How to use the FileTrac NetSuite Export to transfer financial and claims data to Oracle NetSuite ERP, including where to find the report, what data is included, and when to use it.

Overview

FileTrac includes a NetSuite Export capability that allows adjusting firms to transfer financial and claims data from FileTrac to Oracle NetSuite, a widely used enterprise resource planning (ERP) platform. This integration is designed for firms that use NetSuite for accounting, financial reporting, or enterprise operations alongside FileTrac for claims management.

The export generates a formatted data file from FileTrac that can be imported into NetSuite, keeping your ERP system in sync with your claims activity without manual data re-entry.

Where to Find the NetSuite Export

The NetSuite Export is available as a report within FileTrac's Accounting Reports section.

1. Navigate to Reports from the main FileTrac menu.

2. Open the Accounting Reports category.

3. Select NetSuite Export from the list of available reports.

4. Configure the export parameters — such as date range, company filter, or other applicable criteria — and run the report.

5. FileTrac will generate the export file. Save it to your computer and then import it into NetSuite using NetSuite's standard import tools.

What Data Is Included

The NetSuite Export focuses on financial data from FileTrac that needs to flow into your ERP system. This typically includes:

Invoice data — Invoice numbers, amounts, dates, services rendered, and associated claim references

Payment records — Payments received, payout details, and write-offs

Client and company information — Client company names and identifiers as they relate to the financial transactions

Adjuster payout data — If applicable, adjuster compensation details tied to claims

Claim identifiers — File numbers and claim numbers that tie the financial data back to specific claims

The export is formatted for compatibility with NetSuite's import tools. The exact fields and format may be customized based on your firm's NetSuite configuration — contact the Evolution Global support team if you need adjustments to the export format.

When to Use This Export

Common scenarios for using the NetSuite Export include:

Monthly close — Exporting the month's invoicing and payment data from FileTrac to NetSuite as part of your month-end accounting close process.

Revenue reconciliation — Comparing FileTrac financial data with NetSuite records to ensure both systems agree.

Accounts receivable sync — Keeping NetSuite's AR records up to date with FileTrac invoice and payment activity.

Enterprise reporting — Feeding FileTrac data into NetSuite for consolidated financial reporting across your organization.

NetSuite Export vs. QuickBooks Integration

FileTrac offers both a NetSuite Export and a full QuickBooks integration. The key differences are:

QuickBooks has a deeper, real-time integration with an export queue, entity mapping, and direct sync capabilities. It is the preferred option for firms using QuickBooks as their primary accounting system.

NetSuite Export is a report-based export designed for firms using NetSuite ERP. It generates a file that you import into NetSuite on your own schedule.

If your firm uses NetSuite rather than QuickBooks, the NetSuite Export is the appropriate integration path.

Troubleshooting

NetSuite Export not visible in Reports: The NetSuite Export must be enabled for your account. If you do not see it in the Accounting Reports section, contact support@evolution.global to request activation.

Import errors in NetSuite: Verify that the export file format matches your NetSuite import configuration. If the field mapping has changed or your NetSuite setup differs from the default, contact the Evolution Global support team to adjust the export format.

Missing transactions in the export: Check the date range and filter criteria you used when running the export. Transactions outside the selected range will not be included. Also confirm that the invoices or payments you expect to see have been finalized in FileTrac (draft or pending items may not export).

Data discrepancies between FileTrac and NetSuite: The export captures data at the time the report is run. If changes are made in FileTrac after the export, you will need to re-run the export to capture the updates. The NetSuite Export does not sync automatically.
