Overview
CrossTrac is FileTrac's inter-company claim sharing feature. It allows adjusting firms to send and receive claim files between separate FileTrac accounts — enabling collaboration when claims need to be transferred, shared for co-adjusting, or reassigned to a different firm entirely.
Common scenarios where CrossTrac is used include catastrophe (CAT) overflow, geographic reassignment, specialty referrals, and firm-to-firm transfers when a carrier changes its adjusting partner.
How CrossTrac Works
CrossTrac operates as a secure bridge between two FileTrac accounts. When you send a claim via CrossTrac, the receiving firm gets a copy of the claim data imported into their own FileTrac environment. Both firms retain visibility into the claim's origin through the CrossTrac tracking fields.
Key points to understand:
• CrossTrac creates a copy of the claim in the receiving firm's account — it does not move or delete the original.
• Both the sending and receiving firms can track the transfer via the CrossTrac Received/Sent Report.
• The receiving firm can manage the claim independently once it has been imported.
• CrossTrac must be enabled on both the sending and receiving FileTrac accounts for the transfer to work.
Sending a Claim via CrossTrac
To send a claim to another adjusting firm:
1. Open the claim you want to share in the Edit Claims page.
2. Locate the CrossTrac action in the claim header or actions menu.
3. Select the destination firm from the list of available CrossTrac partners. Only firms that have CrossTrac enabled and are configured as partners will appear.
4. Confirm the transfer. FileTrac will package the claim data and send it to the receiving firm's account.
5. You will receive confirmation once the claim has been successfully transmitted.
The original claim remains in your account and is not affected by the transfer. You can continue to work on it, close it, or leave it as-is depending on your workflow.
Receiving a Claim via CrossTrac
When another firm sends you a claim through CrossTrac:
1. The claim will appear in your FileTrac account as a new claim record, pre-populated with the data sent by the originating firm.
2. Review the imported claim data for completeness. Some fields may need to be updated to match your firm's internal processes (such as assigning an adjuster from your team).
3. The claim will be tagged with CrossTrac metadata indicating which firm sent it and when it was received.
4. From this point forward, you manage the claim like any other claim in your account.
CrossTrac Received/Sent Report
FileTrac includes a dedicated report for tracking all CrossTrac activity. The CrossTrac Received/Sent Report is located in the Claims Reports section under Reports.
This report shows:
• Claims Sent — All claims your firm has sent to other firms via CrossTrac, with the destination firm name, date sent, and claim details.
• Claims Received — All claims your firm has received from other firms, with the originating firm name, date received, and claim details.
Use this report to audit CrossTrac activity, reconcile transfers, and confirm that claims have been successfully received by partner firms.
Requirements and Setup
CrossTrac requires configuration by the Evolution Global support team. To get started:
1. Contact support@evolution.global to request CrossTrac activation on your account.
2. Provide the name(s) of the partner firm(s) you need to exchange claims with. Both firms must have CrossTrac enabled.
3. The support team will configure the CrossTrac partnership between the two accounts.
4. Once configured, CrossTrac actions will become available in the Edit Claims page for both firms.
Troubleshooting
CrossTrac option not visible: Confirm that CrossTrac has been activated on your account. Contact support@evolution.global if you do not see the CrossTrac action on the Edit Claims page.
Partner firm not listed: The receiving firm must also have CrossTrac enabled, and the partnership must be configured between both accounts. Contact support to verify the partnership is set up.
Received claim missing data: Some data fields may not transfer depending on differences in custom field configuration between the two firms. Review the imported claim and manually populate any missing fields.
Need to recall a sent claim: CrossTrac transfers cannot be recalled once completed. Contact the receiving firm directly to coordinate any needed changes.
