Overview
The States Requiring License # setting in FileTrac identifies which U.S. states require adjusters to hold a valid license number in order to handle claims in that state. When a state is flagged in this setting, FileTrac enforces license compliance by requiring that any adjuster assigned to a claim in that state has a valid license number on file. This setting is found in the General Setup column on the Settings page.
Configuring License Requirements
Navigate to Settings → General Setup → States Requiring License # to view and manage the state list. For each state, you can toggle whether a license number is required for adjusters working claims in that jurisdiction. When a state is marked as requiring a license:
FileTrac checks the assigned adjuster's personnel record for a valid license entry for that state.
If the adjuster does not have a license on file for the claim's state, the system displays a warning or blocks assignment depending on your configuration.
License expiration dates are tracked on the adjuster's personnel record, and the Personnel Manager displays Expired or Pending Expired flags when credentials lapse.
Compliance Implications
Most U.S. states require public adjusters and/or independent adjusters to hold a state-issued license. Failing to comply with state licensing requirements can result in regulatory penalties, voided claim settlements, and legal liability. This setting automates the compliance check so that supervisors and clerical staff do not have to manually verify licensing for every assignment.
Both California and Florida require that licensed insurance adjusters include their state-issued license number on claim correspondence. This is not limited to email — the requirement extends to invoices, letters, inspection documents, and any other communication related to a claim. Removing or omitting an adjuster's license number from claim documents places the adjuster and their firm out of compliance with state law and subject to regulatory penalties.FileTrac includes the adjuster's license number on claim correspondence to support compliance with these requirements.
Tips
Review and update this setting whenever your organization expands into new states or when state licensing laws change.
Combine this setting with the Expired and Pending Expired flags in the Personnel Manager to proactively renew licenses before they lapse.
During catastrophe events, adjusters may be deployed to states where they do not normally work — check license requirements for those states before making assignments.
