How to configure Report Types in FileTrac Settings to classify adjuster reports and documents uploaded to claims.

Overview

The Report Types setting in FileTrac defines the classification system for adjuster reports and documents uploaded to claim records. When an adjuster uploads a report (an inspection report, estimate, supplemental, photos, etc.), they assign it a report type from this configurable list. Report types drive filtering on the claim record, power report-related alerts, and feed into reports like the Uploaded Reports Listing. This setting is found in the General Setup column on the Settings page.

Managing Report Types

Navigate to Settings → General Setup → Report Types to view and manage the list. From here you can:

  • Add a new report type — Enter the report type name and save. The new type becomes available in the report upload dropdown.

  • Edit an existing type — Update the name of a report type. Existing uploads tagged with the old name will reflect the update.

  • Set display order — Control the order in which report types appear in the upload dropdown.

Where Report Types Are Used

Report types appear in several places throughout FileTrac:

  • Claim record — Reports/Documents tab — Each uploaded document is tagged with a report type, and users can filter the document list by type.

  • Alerts — Report-related alerts (such as "Recent Reports by Status") use report types to categorize incoming documents.

  • Reports section — The Uploaded Reports Listing and Printed Reports Listing can be filtered by report type.

  • Color Coding — The Color Coding for Reports and Documents setting can apply color rules based on report type for visual identification.

Tips

  • Align report types with the document types your clients expect — for example, "Initial Inspection," "Supplemental," "Final Report," "Estimate," "Photos," "Correspondence."

  • If you use the strict approval workflow, report types help reviewers identify which documents need approval at each stage.

  • Review and consolidate report types periodically — duplicate or ambiguous types lead to inconsistent classification and make report filtering less effective.
