Settings — Report Upload Options

How to configure Report Upload Options in FileTrac Settings to control file upload behavior, accepted formats, and upload workflows for adjuster reports.

Overview

The Report Upload Options setting controls how adjusters and staff upload reports and documents to claims in FileTrac. These options define the accepted file formats, size limits, upload workflow behavior, and any validation rules that apply when files are attached to a claim record. This setting is found in the Workflow and User Access column on the Settings page.

Configuring Upload Options

Navigate to Settings → Workflow and User Access → Report Upload Options to configure. Key options include:

  • Accepted file formats — Define which file types are allowed for upload (e.g., PDF, Word, Excel, JPEG, PNG, TIFF). Restricting formats prevents incompatible or potentially harmful files from being uploaded.

  • File size limits — Set the maximum file size per upload to manage storage consumption and prevent excessively large files from slowing down the system.

  • Upload workflow — Configure whether uploaded reports automatically enter the review queue (when Review Settings are enabled) or are immediately marked as final.

  • Required fields on upload — Specify whether the uploader must select a report type, enter a description, or fill in other metadata fields before the upload can be completed.

How the Upload Process Works

When a user uploads a report to a claim, they select the file, choose a report type from the dropdown (see Report Types), and optionally add a description. FileTrac validates the file against the configured upload options (format, size, required fields). If validation passes, the file is attached to the claim record. If Review Settings are enabled, the report enters the review queue; otherwise, it is immediately available on the claim.

Tips

  • Require the Report Type field on upload to ensure every document is properly classified from the start — this improves filtering and reporting downstream.

  • If adjusters frequently upload large photo sets, consider setting a per-file size limit and providing guidance on image resolution to keep storage manageable.

  • Coordinate upload options with your Review Settings — when review is enabled, upload options determine what metadata is captured at upload time and what the reviewer sees in the queue.
