Overview
The Review Settings in FileTrac control how adjuster reports are reviewed and approved before being finalized or sent to clients. These settings define the review workflow — including whether reports require supervisor review, how many levels of approval are needed, and which roles can approve reports at each stage. This setting is found in the General Setup column on the Settings page.
Configuring Review Workflows
Navigate to Settings → General Setup → Review Settings to configure the review process. Key configuration options include:
Review requirement — Whether uploaded reports must go through a review process before they can be marked as final or sent to clients.
Approval levels — How many review stages a report must pass through (e.g., single supervisor review, or multi-level review with supervisor and manager approval).
Reviewer assignment — Whether reviewers are assigned automatically based on the adjuster's supervisor, or selected manually per report.
Review statuses — The statuses a report moves through during the review cycle (e.g., Pending Review, Under Review, Approved, Returned for Revision).
How the Review Process Works
When review is enabled, an adjuster uploads a report to a claim and it enters the review queue. The assigned reviewer receives an alert (visible in the Alerts Dashboard under "Reports for Review") and can open the report to review it. The reviewer can approve the report, which advances it to the next stage (or marks it final), or return it for revision with comments, which sends it back to the adjuster for corrections.
This workflow ensures quality control on client-facing deliverables and creates an audit trail of who reviewed and approved each report.
Tips
Enable review workflows for report types that are client-facing (inspections, estimates, final reports) and consider bypassing review for internal-only documents to keep throughput high.
Use the Alerts Dashboard to monitor the review queue — reports sitting in "Pending Review" for too long can delay client deliverables.
If your organization uses the strict approval process, combine Review Settings with the Strict Approval Process: Approvals List report to track approval bottlenecks.
