Managing Documents in FileTrac

Understanding the recommended workflow for editing and managing documents in FileTrac, including the download, edit, and upload process for compliance and tracking.

Overview

This article covers the recommended workflow for editing documents attached to claims in Evolve. The process is designed to support compliance and tracking by maintaining a clear audit trail of document changes.

Important Note: Some documents, such as those that a user has placed restrictions on or that are in a file format that does not allow for editing, cannot be edited. Be sure to verify your company's policies and procedures regarding modifying and replacing existing documents in a file before proceeding.

About the Legacy Document Editor Tool

The Evolve Document Editor tool that was previously available for download has been deprecated and is no longer supported. The download link has been removed.

The recommended approach going forward is to download the document, make your changes locally, and upload a new clean document rather than editing the existing document in place. This method is preferred for compliance and tracking purposes, as it creates a clear record of the original document and the revised version.

Recommended Workflow: Download, Edit, Upload

Follow these steps to edit a document attached to a claim:

Step 1 — View and download the document

Click on the eye icon

to view the document. If the document does not open automatically, click Download. Your browser will handle the download according to your system settings.

Step 2 — Edit the document locally

Once the document opens on your computer, click Enable Editing if prompted. Make the necessary changes, then save the file to your computer using File > Save As. Saving as a new file preserves the original and gives you a clean revised copy.

Step 3 — Upload the revised document

Return to Evolve and upload your revised document as a new report to the file using the UPLOAD>> button on the Manage Claims page.

Why This Workflow Matters

Uploading a new clean document rather than editing in place provides several benefits:

Audit trail: Both the original and revised documents remain in the claim file, creating a clear history of changes.

Compliance: Many carriers and regulatory frameworks require that original documents be preserved. Uploading a new version satisfies this requirement.

Tracking: Each uploaded document is timestamped and attributed to the user who uploaded it, making it easy to see who made changes and when.
