Email Limitation

Understanding why you are receiving email error messages.

Overview

Evolve's email system has a 25 MB total size limit per outgoing message. This includes all attachments, email headers, and formatting. This is a standard limit across most modern email systems and cannot be increased.

Practical Attachment Limit

After accounting for the message body and headers, the practical maximum total size of attachments is around 18 MB.

Why a File Under 25 MB May Still Fail

A file that uploaded successfully to Evolve as under 25 MB may still cause an error when emailed. Email encoding (typically base64) increases the transmitted file size by roughly 33%, which can push an attachment over the 25 MB transport ceiling.

Workarounds

1. Download the document(s) from Evolve to your computer, then send via Outlook or your email program of choice.

2. To send from inside Evolve, first download the document(s) to your computer, compress them into a ZIP archive, upload the smaller ZIP back to Evolve, then email the ZIP from the Evolve system.

Tips

If you frequently send large evidence files, consider sharing via a secure file link instead of email attachments. Contact Evolve support at support@evolution.global for guidance on document-sharing options.
