Settings — Letter Template Categories

How to configure Letter Template Categories in FileTrac Settings to organize form letter templates by type and purpose.

Overview

The Letter Template Categories setting in FileTrac organizes your form letter templates into logical groups. FileTrac supports both Microsoft Word/Excel templates and HTML letter templates, and categories help users find the right template quickly when generating correspondence from a claim. This setting is found in the General Setup column on the Settings page.

Managing Categories

Navigate to Settings → General Setup → Letter Template Categories to view and manage the category list. From here you can:

  • Add a new category — Enter the category name and save. The new category becomes available for assigning templates.

  • Edit an existing category — Update the category name. Templates already assigned to the category will reflect the new name.

  • Set display order — Control the order in which categories appear in the template picker when users generate letters from a claim.

Template Types

FileTrac supports two types of letter templates, both of which use categories for organization:

  • Microsoft Word/Excel Templates — Upload Word or Excel template files that merge claim data into predefined fields. Managed through Settings → Manage Microsoft Word/Excel Templates.

  • HTML Letter Templates — Web-based templates created and edited within FileTrac. Managed through Settings → Manage HTML Letter Templates.

When creating or editing a template, you assign it to a category. When a user generates a letter from a claim, the template picker groups available templates by category for easy navigation.

Tips

  • Create categories that match your workflow — for example, "Acknowledgement Letters," "Status Updates," "Closing Letters," "Client Correspondence," and "Internal Memos."

  • Keep category names clear and consistent so that adjusters and clerical staff can find the right template without browsing through unrelated options.

  • Review your categories periodically and archive any that are no longer in use to keep the template picker manageable.
