Companies — Manage Companies and Special Instructions

How to search, filter, and manage company records in FileTrac, including viewing and editing Special Instructions for each client company.

Overview

The Manage Companiespage is where you view, search, and maintain all company (client) records in Evolve. Each company record stores contact details, location information, and — critically — Special Instructionsthat govern how your team should handle claims for that client. This page is the go-to resource for administrators and clerical staff who need to add new clients, update existing company profiles, or review client-specific handling rules before working a claim.

Filter and Search Controls

The filter bar at the top of the page provides three controls to narrow the company list:

  • Filter by Typedropdown — Defaults to ALL. Select a specific company type to show only companies of that category.

  • Filter by Nametext field — Start typing a company name and press ENTER to search. Evolve filters the list to matching results.

  • Statusdropdown — Defaults to Active. Switch to view inactive or all companies.

An orange Add Companybutton sits to the right of the filters. Click it to open the new company creation form.

Company List Columns

The company list table displays the following columns for each record:

  • Name— The company name, displayed as a clickable link. Click the name to open the full company profile and edit details.

  • City— The city where the company is located.

  • State— The state abbreviation.

  • Phone— The company's primary phone number.

  • Primary Contact— The main point of contact at the company, displayed as a name with an email link for quick outreach.

  • Special Instructions— A "View Instructions" link that opens the company's special handling instructions. See below for details.

Special Instructions

Every company record in Evolve can have Special Instructions— free-text notes that document client-specific requirements, preferred workflows, billing rules, or compliance mandates. These instructions are visible from the company list via the "View Instructions" link and can also appear on claim records associated with that company.

Special Instructions are essential for ensuring consistent claim handling. Common examples include:

  • Required turnaround times for specific report types.

  • Preferred communication channels (email only, phone first, etc.).

  • Billing rate overrides or fee schedule references.

  • Mandatory fields or documentation that must accompany every claim submission.

  • Escalation procedures or designated contacts for urgent claims.

To edit Special Instructions, open the company profile by clicking the company name, navigate to the instructions section, and update the text. Changes take effect immediately and are visible to all users who access that company's records or associated claims.

Adding a New Company

Click the orange Add Companybutton to open the new company form. Fill in the company name, address, phone, primary contact, company type, and any Special Instructions. After saving, the new company appears in the company list and becomes available for selection when creating or editing claims.

Tips

  • Review Special Instructions before starting work on a claim for any client you have not worked with recently. Client requirements can change, and outdated handling can cause rework or compliance issues.

  • Use the Filter by Typedropdown to quickly separate insurance carriers, independent adjusting firms, and other company categories.

  • Keep the Primary Contactfield current — this is the fastest way for your team to reach the right person at a client company.

  • When a client updates their requirements, edit the Special Instructions immediately so that all adjusters see the latest rules on their next claim.
