Manage Claims — Claim Statuses Catalog

Reference catalog of all claim statuses in FileTrac, what each status means, and how statuses drive alerts, reporting, and workflow progression.

Overview

Every claim in Evolve carries a status that indicates where it stands in the claims lifecycle. The status appears in the Status / Due column on the Manage Claims grid and drives alerts, due-date calculations, and management reporting. This article catalogs the standard claim statuses, explains what each one means, and describes how claims move between statuses.

Status Reference

Initial Contact and Schedule Inspection — The claim has been created and assigned but the adjuster has not yet made first contact or scheduled an inspection. This is typically the first status a new claim receives. The Alerts dashboard flags claims in this status when the contact deadline approaches.

Initial Contact — The adjuster has made first contact with the insured but has not yet scheduled or completed the inspection. The claim is progressing but field work has not begun.

Assignment Rejected — The assigned adjuster has rejected the claim assignment (using the Accept/Reject workflow on the claim form). The claim needs to be reassigned to another adjuster. This status is a clear signal to managers that action is required.

Inspected - Ready for Review — The field inspection is complete and the adjuster's estimate or report has been submitted for review. The claim is now in the reviewer's queue. The Review Queue alert on the Alerts dashboard shows all claims in this status.

Ready for Review — Similar to "Inspected - Ready for Review," this status indicates the claim is awaiting a reviewer's attention. The distinction between the two may depend on your organization's workflow configuration.

Ready to be Bundled with Invoice — The claim's report has been approved and the claim is ready for billing. The next step is to create an invoice or bundle the claim documents for delivery to the carrier alongside the invoice.

7 Day Status — A status report is due at the seven-day mark. This status is commonly used by carriers that require periodic status updates at defined intervals.

1st Report — The first formal report has been submitted to the carrier. The claim is now past the initial reporting milestone and may be awaiting the carrier's response or further instructions.

Reopen — A previously closed claim has been reopened, typically because of a supplement, additional damage discovery, or a dispute. Reopened claims re-enter the active workflow and appear in the adjuster's claim list.

None — No status has been assigned to the claim. This may occur on newly imported claims or claims that have not yet been processed through the standard workflow. Claims with a "None" status should be reviewed and assigned an appropriate status.

Custom Statuses

In addition to the standard statuses listed above, your organization's administrator can create custom statuses in Settings under Claim Status Notes. Custom statuses let you tailor the workflow to your specific business processes, carrier requirements, or internal tracking needs. Common custom statuses include "Pending Supplement," "Litigation Hold," "Awaiting Carrier Response," and "Final Review."

How Statuses Drive Alerts and Reporting

Several features in Evolve depend on accurate claim statuses:

  • Alerts Dashboard — Alerts like "Status Due Today," "Claims Over 5 Days," and "Review Queue" are triggered based on the current claim status and how long the claim has been in that status. See Alerts Dashboard for the full alert reference.

  • Reports — Many management reports filter or group claims by status. Cycle-time reports, status-aging reports, and adjuster workload reports all use the status field.

  • Color coding — Overdue statuses appear in red on the Manage Claims grid. The due date is calculated based on the status and the configured time limits for that status.

Tips

  • Keep claim statuses current. An outdated status causes false alerts and skews management reports. Update the status whenever the claim reaches a new milestone.

  • If you see claims stuck in "Assignment Rejected," address them promptly. These claims have no active adjuster and are not progressing.

  • Claims with a "None" status should be reviewed during your daily Alerts check. Assigning a proper status ensures the claim enters the correct workflow.

  • Custom statuses are powerful but should be used consistently across your team. Document the meaning and expected next action for each custom status so all users interpret them the same way.

  • The Status / Due column's red highlight for overdue items is one of the most effective visual tools on the Manage Claims grid. Train your team to scan for red items first thing each morning.
