How to Use LEDES Settings in FileTrac

The LEDES configuration in FileTrac allows law firms and service providers to create invoices using standard billing codes for legal work.

Step 1: Add Task Codes to Your Company Profile

To begin using LEDES settings, ensure that Task Codes are configured for the relevant company within Evolve:

  1. Navigate to Companies: Click on "Companies" in the main navigation bar.

  2. Select Your Company: Locate and select the specific company you're configuring.

  3. Access Task Codes:

    • Once inside the company's profile page, click on "Task Codes" in the navigation menu.

    • Add or review the relevant task codes used for time logging.

Tip: Task codes represent specific types of legal tasks (e.g., "L110 – Fact Investigation") and are necessary for compliant billing.


Step 2: Submit Expense & Activity Codes to Support

Expense and activity codes are not directly editable in the user interface and must be configured by Evolve support:

  1. Prepare Your Code List:

    • Identify and organize the company-specific Expense Codes and Activity Codes you require.

  2. Locate the companyID:

    • You can find your companyID in the URL when viewing the company (e.g., .../system/companyEdit.asp?companyID=46292).

  3. Contact Support:

    • Send an email to the Evolve support team.

    • Include the companyID and the list of required Expense and Activity Codes.

Note: These codes are used for billing purposes and must align with LEDES format standards if you’re exporting to clients or internal systems that use this format.


Logging Time: Using Service and Task Codes

Once the setup is complete:

  • Your team can log time as usual using the services and task codes configured.

  • Expense and activity codes are not visible on the Timelog entry page.

    • These are added only during invoice creation, not during standard time entry.


Creating an Invoice with LEDES Codes

When creating an invoice in Evolve:

  1. Go to Invoice Creation: Follow your usual process for generating an invoice (selecting time logs, fee schedules, etc.).

  2. Invoice Worksheet Enhancements:

    • On the invoice worksheet, each line item now includes two additional dropdowns:

      • Activity Code: Choose the relevant code describing the nature of the legal activity.

      • Expense Code: Select the code that matches the billed expense.


  3. Finalize Invoice:

    • Ensure the correct codes are selected for each service and expense item.

    • Continue with the invoice creation and submission process as normal.

Reminder: These additional fields are vital for LEDES-compliant billing and must be filled in accurately to meet client/legal billing standards.

Exporting the Invoice to LEDES Format

To export a completed invoice to LEDES format:

  1. Go to Billing:

    • Click on “Billing” from the main navigation bar.

  2. Search for the Invoice:

    • Use the search function to locate the invoice you wish to export.

  3. Export Options:

    • On the right-hand side of the invoice entry, you will see export options.

    • Choose between:

      • LEDES 1998

      • LEDES 2000

Click the desired format to export the invoice. This file can be uploaded to your client’s billing system or stored for compliance purposes.
