Overview
Evolve customers are able to utilize the Mailgun feature to send emails using their customer domain, which allows for emails to seamlessly be delivered from the customer's domain by utilizing opportunistic encryption. This means that if the receiving email system accepts encrypted email, the email will be sent encrypted through TLS 1.2. If the receiving email system does not accept encryption, the email will be sent without encryption.
When a user is not sending from the customer's domain, then the system will generate the email from your system's default email address under the domain and appear similar to the below example:
(claims@yourdomain.com) sent on behalf of Bob Smith (bob@mail.com).
The first line of the email body will appear similar to:
"This email was generated by the Evolve Claims Management System on behalf of (User's Email) with (Your Company name). All replies will be sent directly to (User's Email)."
DNS Records
This change in email management does require for changes to be made to your DNS (Domain Name System) records.
When a user submits an email from within Evolve (for those companies who have enabled Mailgun):
1. Mailgun sends the email to the appropriate recipient(s) as addressed.
2. If the user sending the email has an address associated with that company's domain (for example: user@yourdomain.com), this address will be displayed to the recipient as the sending address.
3. If the user has an email address that does not belong to the company's domain, your system's default email address will instead be displayed to the recipient as the sending address (ex: claims@yourdomain.com).
4. When the recipient responds to the email, their response will be routed to the original user's email address whether it belongs to the company's domain or not.
For example: If a user with an address (user@gmail.com) sends an email to (bob@mail.com) through the Evolve system, Bob would see the email as coming from your system default email (claims@yourdomain.com). However, when Bob responds to the email, the response is actually sent to (user@gmail.com); it is NOT sent to (claims@yourdomain.com).
