Excel Import — Bulk Claim Upload (CAT Events)

Use the Excel Import feature to enter multiple claims at once via a standard template — especially helpful during CAT events. Includes the escalation path for very large volumes.

Overview

The Excel Import feature allows you to enter multiple claims into a single spreadsheet and upload them directly into Evolve in one step. This is especially useful during a CAT (catastrophic) event, when hundreds of claims may arrive at once and need to be entered quickly.

Step 1 — Access the Excel Import Feature

  1. From the Evolve toolbar, click New Claim.

  2. In the dropdown menu, select New Claim to open the New Claim page.

  3. In the upper-right corner of the New Claim page, click Excel Import (next to Atlas General Import).

  4. The Excel Import pop-up window will open.

Step 2 — Download the Claims Standard Import Template

  1. In the Excel Import pop-up under Step 1, click the Claims Standard Import Template link.

  2. The template will open in Excel.

  3. Click View template notes and usage for additional guidance on filling out the template.

Step 3 — Complete the Spreadsheet

The template contains a large number of fields covering all aspects of a claim. Important guidelines:

  • Required fields are shown in red — these must be completed at minimum before the file can be imported.

  • All other fields should be completed wherever the information is available.

  • Complete one spreadsheet per client company. This is necessary to properly associate the claims with the correct client during the upload process.

The template columns span the full range of claim data, including:

  • Claim Number, Received Date

  • Insured information (name, address, phone, email)

  • Policy details (policy number, type, effective/expiration dates)

  • Loss details (address, date, type, unit, type of adjustment)

  • Claim status, adjuster, supervisor, manager, desk examiner

  • Reserves (building, contents, amount of claim, ACV, RCV)

  • Coverage A through F, deductibles, premium

  • Agent information

  • Claimant information

  • Auto details (year, make, model, VIN, coverage, damages)

  • Special instructions and notes

When finished, save the spreadsheet to your computer so it is ready to upload.

Step 4 — Upload the Spreadsheet into Evolve

Return to the Excel Import pop-up and complete the following steps:

  1. Step 1 – Select File: Click Select and browse to your saved spreadsheet to upload it.

  2. Step 2 – Select Client Company: Choose the appropriate client company from the dropdown.

  3. Step 3 – Select Client Contact: Once the client company is selected, choose the client contact from the dropdown.

  4. Step 4 – Select Branch: Select the branch associated with the client company.

  5. Click Upload Selected to complete the import. Evolve will process the spreadsheet and create the claims.

CAT Event Escalation — Large Volume Uploads

If you are dealing with an extremely large spreadsheet during a CAT event and need claims uploaded as quickly as possible, you may submit the completed spreadsheet directly to Evolve Support. Our development team can handle the upload on the back end to get your claims into the system rapidly.

Note: This escalation path is reserved for CAT events with very large claim volumes. For standard use, please follow the self-service upload process outlined above.
