Overview
The Accounts Receivable Aging tab in the Billing section provides a snapshot of all outstanding invoices organized by how long they have been unpaid. Invoices are grouped into standard aging buckets — Current, 30 days, 60 days, and 90+ days — giving billing staff and management a clear view of receivable health and collection priorities.
Aging Buckets
The tab displays outstanding invoices in standard aging categories based on how many days have passed since the invoice due date:
Current — Invoices that are not yet past due.
30 Days — Invoices that are 1 to 30 days past their due date.
60 Days — Invoices that are 31 to 60 days past due.
90+ Days — Invoices that are more than 60 days past due. These represent the highest collection risk and typically require escalated follow-up.
Each bucket shows the total dollar amount and number of invoices it contains. Use these summary figures to assess the overall state of your receivables at a glance.
How to Use the Aging Tab
Start your collections workflow by reviewing the 90+ day bucket first — these are the oldest unpaid invoices and carry the highest risk of non-payment. Work backward through the 60-day and 30-day buckets. Current invoices typically do not require collection action but should be monitored for accuracy.
Click into any aging bucket to see the detailed list of invoices it contains. From the detail view, you can open individual invoices, record payments, or export the list for offline review.
Relationship to Billing Reports
The Aging tab provides a live, interactive view of the same data that appears in the Accounts Receivable Aging Report available in the Reports section. The report versions (V2, V2 Extended, V2 New, V2 Claim Share) offer additional formatting and filtering options for printing or sharing with leadership, but the Aging tab is the best tool for day-to-day collections work because it is interactive and always up to date.
Tips
Review the Aging tab at least weekly. A growing 90+ day balance is an early warning sign that collections need more attention.
Use the branch filter (available on the main Billing search view) before switching to the Aging tab if you want to see aging for a specific office.
The dollar totals in each bucket include all unpaid balances — both the original invoice amount and any partial payments already received. The "Balance" column shows what is still owed.
For formal reporting to leadership, run the Accounts Receivable Aging Report from the Reports section, which offers summary and detail formats suitable for meetings and financial reviews.
